Had a Bad Tenant? How to Avoid a Repeat

For many rental property owners, one bad tenancy is enough to make them question whether they want to rent their property again.

Perhaps a tenant stopped paying rent, caused damage or left the property in poor condition. Beyond the financial cost, these experiences can be stressful and time-consuming.

It’s understandable that one of the first questions we hear from owners in this situation is:

“How can I be sure the same thing won’t happen again?”

While no property manager can guarantee a trouble-free tenancy, there are important steps that can significantly reduce the risks. And it’s not just about finding the right tenant. What happens throughout the tenancy is equally important.

  1. Thorough tenant screening

Good tenant selection involves much more than meeting someone at a viewing and deciding they seem trustworthy.

At Manage My Rental, our screening process includes rental history and reference checks, credit checks, income and affordability assessments, identity verification and appropriate, lawful checks of relevant publicly available social media information.

We also consider whether the property is a good fit for the applicant and their circumstances.

Taking the time to thoroughly assess applications, rather than rushing to fill a vacancy, is one of the most important steps in reducing tenancy risks.

  2. Set clear expectations from the beginning

One of the most overlooked aspects of successful property management is making sure tenants understand what’s expected of them.

From the start, tenants should understand their responsibilities around keeping the property reasonably clean and tidy, reporting maintenance issues, caring for fixtures and fittings, and looking after outdoor areas where applicable.

It’s also important to explain any property-specific requirements, such as ventilation, heating or caring for particular surfaces.

Good property care starts with clear communication, not assumptions.

  3. Regular inspections and constructive feedback

Routine inspections aren’t just about identifying maintenance issues. They’re an opportunity to check that reasonable property care standards are being maintained and to address any concerns early.

At Manage My Rental, we recommend inspections every three months.

If we notice something that needs attention, such as cleaning, ventilation or garden maintenance, we discuss it with the tenant and explain what’s required.

Often, a simple conversation is all that’s needed. Some tenants may not realise that certain habits could affect the property’s condition, and constructive feedback gives them the opportunity to make adjustments.

Importantly, we follow up to ensure concerns have been addressed.

Small issues that are left unattended can become much bigger problems.

And it’s hardly fair to expect a tenant to meet certain cleaning standards at the end of a tenancy if concerns haven’t been raised or discussed throughout their time in the property. The legal standard is to leave the property reasonably clean and tidy, allowing for fair wear and tear.

  4. Address problems before they escalate

The same proactive approach applies to rent arrears, maintenance and other tenancy concerns.

A missed rent payment should be followed up promptly. Maintenance issues should be investigated to establish the cause, determine responsibility and agree on appropriate action.

Early communication and timely follow-up can prevent minor concerns from developing into costly problems.

Just as importantly, it helps maintain a positive relationship with tenants, where expectations are understood and issues can be resolved constructively.

Good tenant management is an ongoing process

While thorough screening is essential, selecting a suitable tenant is only the beginning.

A successful tenancy relies on clear expectations, regular inspections, open communication and addressing concerns before they escalate.

The goal isn’t simply to find a good tenant. It’s to create the conditions for a good tenancy and maintain them.

At Manage My Rental, we take a proactive approach to managing rental properties throughout Wellington, Lower Hutt, Upper Hutt, Northern Suburbs and Porirua.

If you’ve experienced a difficult tenancy and are considering renting your property again, we’re happy to discuss how our approach can help reduce the risks and give you greater confidence moving forward.
